1. Party at a Glance

Start your planning with a simple overview of your Halloween party.

The Party at a Glance page gives you space to record the most important details, including your party date, start and end times, venue, hosts, expected number of guests, theme, and color palette.

There are also spaces for venue/map information and theme inspiration, which can be especially helpful when you're putting together the overall look and feel of your party.

Use this page as your quick reference whenever you need to check the basic details of your celebration.

 

2. Guest List

Once you know the basics, it’s time to figure out who is coming!

 

The Guest List page gives you space to keep track of each guest, their RSVP, contact information, if they are wearing a costume, plus-one information, dietary needs, and any additional notes.

Keeping all of this information in one place makes it much easier to keep track of your final headcount and your final guest count will be especially helpful when planning your food, drinks, and party favors.

 

3. Invitations

Next up: invitations!

 

The Invitations page helps you keep track of how and when you're sending your invitations. You can indicate whether you're using digital invitations, printed invitations, or both, and record your send date and RSVP deadline.

There's also space for invitation inspiration, so you can keep your favorite design ideas together with your party plans.

The invitation checklist walks you through the process:

  1. Choose your invitation design
  2. Finalize your guest list
  3. Add your party details
  4. Send or order your invitations
  5. Track RSVPs
  6. Send an RSVP reminder

That last step is easy to forget, so having it on your planner is definitely helpful! 

 

4. Decorations & Setup

Now for one of the most fun parts of planning a Halloween party: decorating!

 

The Decorations & Setup pages help you organize your decorations, theme colors, setup date, and setup time.

You'll also have space to create a decoration shopping list with the items you need and the quantity.

The Food & Drinks section gives you space to plan your entire menu, including:

  • Halloween treats and desserts
  • Drinks

There's also a section for special dietary needs and a space to keep track of catering information if you're using a caterer.

I especially like using this page together with the food preparation section. You can record which items can be prepared ahead of time, when you plan to prepare them, and whether they're done.

That way, you don't end up trying to make everything on the day of the party.

 

6. Food & Drink Shopping List

Once your menu is planned, turn your attention to the shopping.

The Shopping List page gives you a dedicated place to write down the items you need and the quantities.

You can use it for everything from ingredients and drinks to disposable plates, napkins, serving supplies, and other food-related party essentials.

Having a separate shopping list also makes it much easier to check things off as you shop.

 

7. Halloween Activities & Games

Planning some Halloween games or activities?

 

The Activities & Games page gives you room to plan several activities and keep all the details together.

This is particularly useful if you're planning multiple games throughout the evening and want to make sure you have everything ready before your guests arrive.

 

8. Music & Entertainment

Set the mood with the right music and entertainment.

 

The Music & Entertainment page gives you space to plan entertainment such as a DJ or live band, organize your sound system setup, and create your playlist.

There's also a song list where you can record the song title and artist or band name.

You can use this page to build your Halloween playlist ahead of time instead of scrambling to find music once the party has already started.

 

9. Entertainment Schedule

If your party includes several activities, games, or entertainment, a schedule can make everything run much more smoothly.

 

The Entertainment Schedule gives you space to organize your plans by:

You can use it for things like games, dancing, a costume contest, dessert, special performances, or anything else you have planned.

Of course, you don't have to follow the schedule down to the minute. Think of it as a helpful guide rather than a strict itinerary.

 

10. Costumes & Contest

If your Halloween party is a costume party, this page is for you!

 

The Costumes & Contest page lets you record your costume theme or dress code, color and style inspiration, contest details, judges, and prizes.

There is also space for several costume contest categories, including:

Using a budget before you start shopping can help you decide where you want to splurge and where you can save. Believe me, this page has saved me from things not getting out of hand...sort of! Haha.

Once you've planned all the fun stuff, it's time to turn those ideas into actual tasks.

 

The Party To-Do List gives you space to organize your tasks along with:

  • Task description
  • Assigned to
  • Due date
  • Status

This page is especially helpful if you're planning the party with someone else. You can assign different tasks and keep track of what still needs to be done.

And if you're planning the party on your own, you can simply use the page as your personal Halloween party checklist.

 

14. Notes & Ideas

And finally, there's a little room for all those ideas that don't fit neatly into another category.
